Project Overview

AVS Group has worked with the Ingersoll Rand meeting services team for over 30 years to jointly produce a number of the company’s corporate meetings held throughout the year.  Recently, AVS Group partnered with Ingersoll Rand to support a series of meetings for the Trane Residential Solutions business segment.  The meeting series included six sessions held between three different U.S. cities—Atlanta, Phoenix, and St. Louis.  Each session attracted an average of over 100 Trane Comfort Specialists who congregated to network, share best practices, and engage in valuable workshops to learn how to improve their individual stores to better meet the needs of today’s residential consumer.

AVS Group support provided for these meetings was two-fold—we provided an experienced producer to direct all audio and visual components and other technical aspects of the events.

AVS Group also provided a meeting services assistant to work hand-in-hand with the corporate meeting planners to offer support both in pre-meeting planning and on-site coordination. In this role, AVS Group worked with the meeting planners to enhance overall attendee experience by ensuring smooth registration processes, pre-arranged attendee transportation and rooming assignments, exceptional off-site catered meals—in general, making it a seamless event.

Key Benefits

In preparation for the meeting, AVS Group’s producer determined the A/V equipment and labor needs, gathered competitive bids, and negotiated costs with the chosen vendor. Onsite responsibilities included:

• Reviewing A/V contracts to negotiate the best value for equipment and labor needed, resulting in cost savings for the client.
• Providing meeting planners peace of mind by taking responsibility for directing all aspects of the multifaceted A/V setup for the general and breakout sessions.
• Integrated the meeting theme, Great Performers, into staging and visual displays.
• Equipped high-profile speakers with the equipment and technical support they needed to effectively give their presentations.
• Captured candid photography throughout the event so the client would have professional documentation  for future educational or promotional purposes
• Personalized the meeting  by capturing video clips of “man-on-the-street” interviews with attendees for use in a compelling closing video.
